Understand live status and data freshness
What active now, idle or quiet, no signal, and recent report updates actually mean.
For AdminsFor ManagersFor ITs
The short answer
Live status is based on recent agent signals. Active now means recent input, idle or quiet means a recent device signal without input, and no signal means WorkforcePilot has no sufficiently recent report.
01
Read status as a signal, not a verdict
- Active now: the service has a recent signal with observed device input.
- Idle or quiet: the device recently reported but input was not observed.
- No signal: there is no recent report for the mapped person or device.
- Updated just now: the dashboard refreshed; it does not guarantee every offline device sent a new event.
02
Common reasons for an empty live table
- The selected security group contains no mapped reporting users.
- Everyone in scope is outside the recent signal window.
- The user’s Windows identity is not mapped to the Entra user.
- The manager is signed in correctly but is scoped to a different group than expected.
