The short answer

Screenshots and Live View should be limited to authorized users with the required organization permissions and group scope. Use them for context, not as a stand-alone judgment about an employee.

Access controls matter

Screen images can contain sensitive business information and, in healthcare environments, protected health information. Access should require both an appropriate role and the relevant screenshot or PHI-viewing permission, while remaining limited to assigned security groups.

Image views and exports should be treated as audited administrative actions. Export only when the business purpose and retention policy allow it.

Manager review checklist

  • Start with team trends and open an individual only when a pattern needs context.
  • Review several signals across a reasonable period rather than one screenshot.
  • Do not share screenshots through unsecured channels or include them in ordinary support email.
  • Use a question-led coaching conversation and allow the employee to explain offline or patient-facing work.
  • Follow the organization’s notice, retention, access, and incident-response policies.
